Freight Logic Inc, dba Talk Freight (“Talk Freight,” “we,” “us,” or “our”) operates the website https://talkfreightai.com and the Talk Freight Transportation Management System (“TMS”). Together, these offerings are referred to as the “Service.” This Privacy Policy explains how we collect, use, disclose, store, and protect your information. By using the Service, you agree to the practices described in this Privacy Policy. Unless otherwise defined, the terms used here have the same meanings as in our Terms & Conditions.

Definitions:
The “Service” means the TalkFreightAI.com website and the Talk Freight TMS. “Personal Data” refers to any information that identifies you as an individual, such as your name, email, phone number, address, account credentials, and shipment-specific data. “Usage Data” includes technical information automatically collected when you use the Service, such as IP addresses, device identifiers, browser types, operating systems, diagnostic logs, and interaction details. “Cookies” are small files stored on your device that help support authentication, preferences, analytics, and system performance. “Data Processors” or “Service Providers” are third-party vendors who assist with hosting, analytics, payment processing, and security services. “Data Subject” or “User” means any individual using our Service whose information is being collected.

Personal data you provide may include your name, company name, email, phone number, physical addresses for billing or shipments, account logins, shipment data such as BOL numbers, freight class, weight, dimensions, commodity descriptions, uploaded documents like BOLs and delivery receipts, payment details (through secure third-party processors), and communication history across email, chat, or phone. We also collect Usage Data such as your device type, browser, IP address, pages visited, session duration, and system diagnostic information. We use cookies and tracking tools to authenticate sessions, enable TMS functionality, store preferences, analyze performance, and protect against fraud. In addition, we may receive information from third parties including freight carriers (tracking links, reweigh or reclass updates, delivery status), payment processors, compliance databases, commercial data partners, identity verification services, and other users within your organization.


Use of Data:
We use your data to provide and maintain the Service, arrange freight transportation, generate LTL and FTL rate quotes, provide tracking links and carrier updates, process shipments and related documents, manage billing and invoices, communicate updates or account information, improve platform performance, enhance system stability, detect and prevent fraud, and comply with FMCSA, DOT, and other regulatory requirements. We may send operational emails such as service announcements, freight updates, platform changes, or educational and promotional materials. You may opt out of marketing communications at any time.

Sharing Your Information:
We only share information when operationally necessary. This may include carriers and logistics partners who assist in arranging transportation and resolving shipment matters, as well as service providers such as cloud hosting vendors, payment processors, analytics platforms, security monitoring firms, and customer support tools. We may disclose information when required by law, including to FMCSA or DOT, government agencies, courts, law enforcement, auditors, or regulators. If Talk Freight is involved in a merger, acquisition, or asset sale, personal information may be transferred as part of the business transaction. We do not sell personal information.

Data Retention:
We retain shipment and brokerage records as required by FMCSA, account information as long as necessary to provide services, transaction records as required by law, and technical logs for security and diagnostics. We keep your data only for as long as needed to fulfill these purposes.

Protecting your personal information is a priority at Talk Freight. We apply multiple layers of administrative, technical, and physical safeguards designed to keep your data secure throughout its lifecycle. These safeguards include modern encryption methods, controlled-access facilities, network and application firewalls, multi-factor access controls, continuous system monitoring, and security practices aligned with current industry standards. These measures help reduce the risk of unauthorized access, misuse, loss, or alteration of your information.
Although we work hard to maintain a secure environment, no online platform or data transmission method is completely free from vulnerabilities. For this reason, we cannot guarantee absolute security, and any information you send to us electronically is transmitted at your own risk. We strongly encourage users not to post sensitive or personal information in public-facing areas of the Website or TMS, as content shared publicly may be accessible to anyone with internet access.
When you create an account, you are responsible for maintaining the confidentiality of your login credentials. This includes choosing a strong password, updating it regularly, keeping your device secure, limiting access to authorized individuals, and signing out after using the Service. You are responsible for all actions taken under your account. If you believe that your login information has been compromised or that someone has accessed your account without permission, you must notify Talk Freight immediately so we can assist in securing your account.

If you prefer not to receive marketing emails or similar communications from Talk Freight, you may adjust your email preferences within your account settings or unsubscribe by clicking the link included in our email messages. Please note that opting out of marketing communications does not affect the delivery of important administrative or legal notices, including updates to our Terms & Conditions or Privacy Policy, which will continue to apply to your use of the Service.
